Generate UDIN to trace Fake Practicing Chartered Accountants

UDIN

UDIN full form is Unique Document Identification Number. UDIN is a unique number generated by practicing Chartered Accountants. UDIN will be generated for every document certified or attested by CA in practice.

To generate UDIN a Chartered Accountant must be registered with the official UDIN portal available at https://udin.icai.org

UDIN to secure documents by Practicing Chartered Accountants

The Professional Development Committee of the Institute of Chartered Accountants of India (ICAI) has implemented an innovative concept of UDIN. Unique Document Identification Number (UDIN) will be made mandatory with effect from 1st January, 2019.

UDIN shall secure documents and the certificates attested or certified by practicing Chartered Accountants (CAs). Full time Practicing CAs can register them on UDIN portal by visiting at https://udin.icai.org/ and generate UDIN by registering the certificates/documents attested/certified by them.

ICAI has noticed that some financial documents and certificates are attested by fake practicing Chartered Accountants. These fake CAs misrepresenting themselves as ICAI Members. They are misleading the Authorities and stakeholder. ICAI is also receiving number of complaints of forged signatures of CA in practice.

How to generate UDIN at udin.ICAI.org

A practicing Chartered Accountant shall only be eligible to generate UDIN to secure their signed documents. Please follow these simple steps to generate UDIN:

Step-1 (UDIN Portal): First of all login to UDIN portal at udin.ICAI.org and thereafter click on “Generate UDIN” from top menu bar.

Step-2 (UDIN Form): A UDIN generation form will appear on the screen. CA in practice has to fill up the required information: Following details are required:

  • Client Reference Code/Number
  • Document Issued
  • Document Description
  • Date of Document
  • Keywords/Values (Min 3 Max 5) with in the document

After providing above details click the button “Send OTP”. Firm Registration Number (FRN) is Optional.

Step-3 (Preview Details): An OTP will be sent to you at the mobile and email, as registered with the ICAI. Enter OTP received and click the button “Preview”.

You will see the details you have entered for generating the UDIN. If you want to change any details, you should click the button “Back”.

No change is possible in the data already registered by a Chartered Accountant in the online system. Therefore, members are requested to thoroughly check the details in preview option before submission of their application.

In other words, information filled in can be edited/ modified any number of times before the submission. But once it is submitted, it cannot be edited.

Step-4 (Generate UDIN): If all details are correct, click on “Submit” button to generate UDIN. A UDIN will be generated and you can use that UDIN on the document for which it has been generated.

UDIN that have been generated would be displayed as watermarked on document(s) else the UDIN can be mentioned on the document(s) using a pen. “List UDIN” menu can be used to print the UDIN.

Following are 7 important queries asked regarding the UDIN i.e. Unique Document Identification Number.

Question-1: Where is the Official announcement for UDIN by ICAI?
Answer: You may refer ICAI official announcement dated 10th July, 2018 and 26th September, 2018 regarding Unique Document Identification Number (UDIN).

Question-2: Is it mandatory to generate UDIN by all Chartered Accountants? Whether UDIN is mandatory for the CA members of ICAI for each certification done?
Answer: This facility is recommendatory for the current year i.e. 2018. But ICAI has announced that generation of UDIN will be made mandatory with effect from 1st January, 2019, so as to curb the menace of fake or forged documents.

Questio-3: What are the key values and are they necessary?
Answer: While registering the certificate for generation of UDIN, the member has to compulsorily provide Key values (minimum three and maximum five), which are found in the document or certificate generated. Key values can be any financial figure extracted from the attested statement or certificate such as Turnover Net profit, Utilization amount, Import amount, Export amount, Duty refund, Refund, Net worth, Revenue, Input tax credit, Loan amount, Total Assets, Net owned funds, Profitability, Capital To Risk Asset Ratio (CRAR), Statutory Liquidity Ratio, Gross fixed assets, Net loss, Misc. expenditure, Total capital investment, Sanction amount, Other (please specify any key words), etc.

Questio-4: How many UDINs can be generated by a CA? Is there any limit?
Answer: There is no restriction on the number of UDINs to be generated by a CA in practice.

Question-5: Can a Certificate number once generated be revoked or cancelled?
Answer: The UDIN once generated can be withdrawn or cancelled with narration. Hence if any user search for this UDIN, appropriate narration indicated by Member with the date of revoke will be displayed for reference.

Question-6: How to create an account on the UDIN portal?
Answer: To register at UDIN portal, please take the following steps:

Step 1: Enter the homepage https://udin.icai.org
Step 2: Click button “For first time sign up, click here”
Step 3: Enter your six-digit Membership No., Date of Birth and Date of Enrollment, and click the “Send OTP”.
An OTP will be sent to you at the mobile and email, as registered with the ICAI.
Step 4: Enter OTP received and click “Continue”, you will receive username and system generated password at the mobile and email, as registered with the ICAI.

Question-7: What happens if while registering on UDIN Portal, the information is not accepted or the password is not sent?
Answer: Credentials do not match with the database as maintained by the regional offices. Probably, the database maintained does not have the correct email ID or mobile number, or the regional offices may have entered the same wrongly. For example, entering multiple email IDs in one field, providing space before the email IDs, etc.
